The same enquiry is sitting in three other inboxes
The enquiry that just landed is not yours alone. A buyer scrolling Bayut or Property Finder opens four listings in the same tower and taps enquire on all of them. Four agencies get the same number inside a minute. Whoever replies first gets the conversation, the conversation gets the viewing, and the viewing is what turns into a deal.
That arithmetic got harsher this year. DLD data reported by Emirates 24|7 puts H1 2026 at AED 419.94 billion across 112,850 transactions, below the AED 431 billion and 125,538 transactions the Dubai Land Department recorded in H1 2025. CBRE's UAE market review counted fewer than 37,000 residential sales worth AED 88 billion in Q2 2026, against more than 51,000 worth nearly AED 154 billion a year earlier. Fewer deals to go round, and the same enquiry still landing in several inboxes at once.
Demand itself has not gone anywhere. The Dubai Population Clock recorded 4,741,335 residents on 30 July 2026, up 161,335 since 1 January. People keep arriving and they all need somewhere to live. The contest is no longer over whether the lead exists. It is over who reaches it first.
Decide who is on duty before the lead arrives
Speed to lead is a rota problem, not a motivation problem. No agent watches a phone from nine in the morning until eleven at night. Write down who owns the inbox in each block of the day, put a named backup behind them, and treat an unassigned lead as an unanswered one. Slow replies are rarely laziness. They are two agents each assuming the other saw it.

The number on a Dubai portal enquiry is usually a WhatsApp number, and the buyer is often not in the country. A message lands whether they are in a meeting in London, asleep in Karachi or driving down Sheikh Zayed Road. A missed call from an unknown UAE number carries no information and gives them nothing to reply to.
Run it as a sequence, not a choice. WhatsApp inside two minutes. Voice call inside five. If neither connects, a short voice note at a different hour the same day, then one more attempt next morning. Three touches over two days beat nine calls in one afternoon, which reads as harassment and gets the number blocked.
Replying fast to an inbound enquiry is not cold calling. Ringing an owner whose number you sourced somewhere else is a different act entirely. RERA fined one brokerage office AED 50,000 and suspended nine of its brokers for three months over direct telemarketing in a case published in April 2022, and the Green List in the Dubai REST app is the sanctioned source of registered owners' contact details.
What the opening message has to do
The first message has one job, which is to get a reply. It is not a pitch, a company profile or a list. Name the unit they enquired on, say that you personally are handling it, add one fact the advertisement did not carry, and ask one question that is easy to answer, such as whether they are buying to live in or to invest.
The don'ts matter as much. Do not send fifteen listings before they have answered. Do not open with how can I help you, which hands the work back to them. Do not quote a price you have not checked this week. And never send a link to an advertisement carrying no Trakheesi permit number and QR code. That code has been mandatory on Dubai property advertisements since 24 April 2023, and portals are one of the fourteen advertising categories RERA lists as needing a permit.
If the enquiry is off-plan, spend thirty seconds before you promise anything. RERA requires a broker to confirm the project is licensed and registered, confirm an escrow account exists for it, hold a marketing contract with the developer, and instruct buyers to deposit only into that project escrow account. Project status is checked through the Mashrooi service in the Dubai REST app.
- ✦Name the unit. Reference the building and the listing they clicked. A generic hello tells them a template went out to everyone.
- ✦Give one new fact. The floor, the view, the handover date, the fact that it is still available. Something the advertisement did not say.
- ✦Offer two slots. Two specific viewing times beat asking when they are free. Picking is easier than proposing.
Leads that arrive at 11pm, on a Friday, or in Ramadan
Many Dubai enquiries are typed in another time zone. Harbor Real Estate, citing DXBinteract data reported by Khaleej Times, puts Indian buyers at around 20.6 per cent of early-2026 purchasing activity and British buyers at 13.3 per cent, while describing those as estimates rather than an official table. An enquiry landing here at 11pm is often an early evening one in London.
After about half past nine at night the rule is reply, do not ring. Send the WhatsApp, answer the question they actually asked, and say plainly that you will call at a stated time in the morning. Then call at that time. A buyer who gets a real answer at 23:10 and a call at 10:00 is better served than one who gets a missed call at midnight.
Friday needs its own plan. Around midday, Jumu'ah prayers take the phones out of service for an hour or so, and enquiries keep arriving through it, which makes that one of the easiest hours of the week to win. Put one agent on the late morning and another from mid-afternoon. In Ramadan, shift the rota later and expect the evening block to carry the volume.
Route by language inside the same five minutes
An enquiry written in Arabic and answered in English has already lost half its warmth. Tag the language on the lead the moment it arrives, from the text of the enquiry itself or from the country code on the number. Then route it to the colleague who speaks it inside the same five minutes, rather than an hour later when somebody finally notices.
Where no native speaker is on the team, a written reply in the buyer's own language still beats silence. Draft it, have a colleague check it, and keep the exchange on the lead record rather than in a private phone, so whoever picks it up next month can see what was promised.
- ✦Tag at capture. Language is a field on the lead, not something an agent is supposed to remember. It should drive the routing.
- ✦Ten-minute handover window. The first responder names the colleague taking over, who messages within ten minutes. A silent reassignment feels like being passed around a switchboard.
- ✦Say it plainly when you cannot. If nobody on the team speaks the language, offer English or a written translation rather than pretending otherwise.
Report the median, not the average
Most brokerages measure this flatteringly and then wonder why the number never matches the complaints. Two rules fix it. Use the median rather than the average, because one lead answered fourteen hours later drags the mean into fiction. And start the clock at lead creation, not at the moment the agent opened the record.
Logging has to be fast or it will not happen at all. Thursday, 21:41. A Property Finder enquiry comes in on a two-bedroom in Dubai Marina. Name, mobile, one line asking whether it is still available. The evening duty block runs to 23:00, so the lead is logged and assigned inside a minute, tagged to its source, and checked against the inventory list before anyone types a word.
21:43. WhatsApp, from the agent's own number. It names the tower, confirms the unit is available, adds that it is a higher floor facing the marina, and asks whether she is buying to live in or to invest. Two viewing slots offered, Saturday at 11:00 or 17:00. No attachments, no company profile, no voice note at that hour.
21:58. She replies: to live in, and she wants to see two or three units in the area. He does not start selling at ten at night. He answers, says he will call at 10:00 with two more options that fit, and stops. At 10:02 on Friday the call connects. Outcome logged as viewing booked, status updated, reminder set, confirmation sent with a listing link whose advertisement carries its permit number and QR code.
Saturday, 11:00, three units, one of them the original. Nothing in that sequence was clever. It was a rota, a two-minute message, one question, an honest clock and a follow-up that landed when it was promised.
